Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to senior management. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office technologies. The Executive Assistant will be instrumental in managing daily operations, coordinating projects, and ensuring the smooth functioning of executive activities.
Responsibilities
- Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Prepare and edit correspondence, reports, presentations, and other documents with high accuracy through proofreading and transcription.
- Coordinate special projects, events, and meetings, including planning logistics and handling event-related tasks.
- Handle incoming calls with professional phone etiquette, screen calls, and direct inquiries appropriately using multi-line phone systems.
- Maintain organized filing systems (both digital and physical), manage data entry tasks, and oversee document management using tools such as DocuSign.
- Assist with bookkeeping tasks utilizing QuickBooks for expense tracking and basic financial record keeping.
- Provide personal assistant support including managing confidential information, arranging personal appointments, and executing errands as needed.
- Support office management functions such as front desk duties, customer service interactions, and general clerical responsibilities like filing and data organization.
- Facilitate project coordination efforts across departments to ensure timely completion of tasks.
Experience
- Proven experience as an executive assistant or in a similar administrative role with a strong background in office management.
- Demonstrated experience in event planning, project coordination, bookkeeping (QuickBooks preferred), and calendar management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
- Strong typing skills with high accuracy; experience in transcription is a plus.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional communication skills including phone etiquette and customer service experience.
- Office experience involving clerical work such as filing, data entry, front desk duties, and handling multi-line phone systems is highly desirable.

Pay: $47,436.95 - $57,128.38 per year
