We are seeking a highly organized, tech-savvy, and proactive Virtual Assistant to provide comprehensive administrative and operational support. You will be the right hand to our team, ensuring smooth day-to-day operations and enabling us to focus on strategic growth. Key ResponsibilitiesAdministrative & Communication Support
- Manage complex email inboxes: filter, prioritize, respond, and flag critical messages.
- Schedule and coordinate meetings, appointments, and travel arrangements across multiple time zones using tools like Google Calendar or Calendly.
- Handle confidential information with discretion and professionalism.
- Serve as a communication bridge between internal teams and external contacts.
Operations & Project Management
- Assist with basic bookkeeping tasks: expense tracking, invoice processing, and receipt management (using tools like QuickBooks, Expensify).
- Manage light project coordination using Trello, Asana, or ClickUp.
- Conduct online research for various projects, vendors, or business opportunities.
- Create, format, and proofread documents, presentations, and spreadsheets (Google Workspace, Microsoft Office).
Digital & Social Media Support (Customize based on needs)
- Schedule social media posts and track basic engagement metrics (using Buffer, Hootsuite, or Later).
- Perform basic WordPress updates (post publishing, plugin updates) or email newsletter management (Mailchimp, ConvertKit).
- Conduct data entry and maintain organized digital filing systems (Google Drive, Dropbox).
Personal Assistance (Optional Section)
- Manage personal appointments, reservations, and gifting.
- Coordinate household or family-related logistics as needed.
Required Skills & QualificationsMust-Haves:
- Minimum 2-3 years of proven experience as a Virtual Assistant, Executive Assistant, or similar administrative role.
- Exceptional written and verbal communication skills in English.
- Expert proficiency in core productivity tools: Google Workspace (Docs, Sheets, Calendar, Drive) and/or Microsoft Office Suite.
- Master organizer: Impeccable time management and ability to prioritize a dynamic task list with minimal supervision.
- Strong problem-solver: Resourceful and able to find solutions independently.
- Stable, high-speed internet connection and a dedicated, professional home office setup.
