Executive Operations Coordinator
Full-Time | GenDev | Remote (U.S.)
GenDev is a Franchise Sales Organization (FSO) that partners exclusively with some of the most innovative, disruptive, and high-growth emerging franchise brands in the country. We help visionary founders scale their franchise concepts through structured development systems, broker networks, and strategic market expansion.
As we continue onboarding new brands and expanding our national footprint, we are hiring a highly organized, proactive Executive Operations Coordinator to support our internal operations, multi-brand workflows, onboarding processes, and company infrastructure. This role reports directly to the CEO and plays a critical part in keeping GenDev aligned, efficient, and execution-focused.

What You’ll Do:
Company Operations & Administrative Coordination
- Maintain organized systems, processes, folders, templates, and documentation.
- Track internal deadlines, renewals, applications, and project milestones.
- Ensure all departments have accurate, updated materials and structured workflows.
- Assist with internal communication and support company-wide alignment.
Brand Onboarding & Project Management
- Coordinate onboarding for new franchise brands joining GenDev.
- Organize and track required assets (FDDs, territory files, marketing collateral, sales tools, etc.).
- Schedule onboarding calls, manage follow-up tasks, and ensure all steps stay on track.
- Maintain checklists and processes to ensure each brand is fully integrated into GenDev’s ecosystem.
Legal, Compliance & Documentation Support
- Maintain registration and FDD tracking spreadsheets for all brands.
- Monitor renewal dates, filing deadlines, restrictions, and approved states.
- Ensure consultant networks and internal systems reflect accurate legal information.
- Organize and archive signed Item 23s, agreements, and compliance documents.
Consultant & Broker Network Support
- Keep brand profiles, incentives, territories, and FDD summaries accurate and up to date.
- Respond promptly to consultant inquiries and territory checks.
- Upload and distribute updated marketing materials and sales collateral across all networks.
- Ensure consultants always have the correct, current information when presenting brands.
Event, Vendor & Partner Coordination
- Maintain company event calendars with deadlines and deliverables.
- Coordinate logistics for trade shows, webinars, and internal events.
- Support vendor communication, contracts, documentation, and billing.
- Ensure all materials and assets are prepared ahead of events.
Marketing & Asset Organization
- Maintain organized brand folders and document libraries.
- Ensure all brand materials used internally and externally are current and approved.
- Coordinate with designers for revisions, updates, and new asset requests.
- Assist with preparation for webinars, discovery days, and brand launches.
Who You Are
- Exceptionally organized, reliable, and detail-oriented
- A strong communicator who is comfortable working with executives, consultants, vendors, and legal teamsAble to manage multiple projects and shifting priorities simultaneously
- Proactive and solution-oriented—you anticipate needs before they arise
- Tech-savvy (Google Workspace, CRM systems, project management tools)
- Professional, discreet, and dependable

Qualifications
- 3+ years experience in operations, project coordination, administrative management, or similar role
- Experience in franchising, consulting, or a professional services environment is a plus
- Strong written and verbal communication skills
- Demonstrated ability to organize complex information and systems
- Strong time management and self-direction in a remote work environment

Base salary: $58,000–$65,000, with an additional performance-based bonus opportunity of up to $40,000.
