Job Summary
We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional administrative support to senior leadership. Duties
- Manage complex calendars using Microsoft Outlook Calendar and scheduling meetings, appointments, and travel arrangements with precision.
- Prepare, proofread, and transcribe documents, reports, and correspondence to ensure clarity and professionalism.
- Coordinate and organize company events, meetings, and conferences from planning stages through execution.
- Handle incoming calls with excellent phone etiquette, screen and direct inquiries efficiently.
- Maintain accurate filing systems—both digital and physical—and oversee data entry tasks to keep records current and accessible.
- Support bookkeeping activities; process invoices, track expenses, and perform basic bookkeeping duties.
- Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
- Provide management support including supply procurement, and general clerical responsibilities.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to create presentations and reports that meet professional standards.
- Manage personal assistant responsibilities such as scheduling personal appointments or errands as needed.
Requirements
- Proven experience as an executive assistant or in a similar administrative role with at least several years of office management or clerical experience.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Excellent written and verbal communication skills with professional phone etiquette.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar), and data entry software.
- Experience with QuickBooks for bookkeeping tasks; familiarity with basic accounting principles is a plus.
- Ability to handle confidential information discreetly while maintaining a high level of professionalism.
- Skilled in proofreading and transcription to ensure accuracy in all documents produced.
- Knowledge of office equipment including document signing platforms like DocuSign.
- Strong attention to detail combined with the ability to multitask efficiently across various projects.

Pay: $46,196.18 - $55,634.11 per year
