Responsibilities
- Greet visitors and manage front desk duties with professionalism and warmth, creating a welcoming atmosphere for clients and staff alike.
- Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.
- Manage appointment scheduling and calendar coordination, ensuring all meetings are organized and timely.
- Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record keeping.
- Maintain filing systems—both physical and electronic—ensuring documents are organized, accessible, and properly stored.
- Assist with office management duties such as supply inventory, equipment maintenance, and general administrative support to keep the office running smoothly.
- Proofread correspondence, reports, and other documents to ensure clarity, accuracy, and professionalism.
- Provide exceptional customer support through courteous communication via phone, email, or in person while addressing inquiries or concerns effectively.
- Support medical or dental reception responsibilities as needed by managing patient or client check-ins, appointment confirmations, and billing processes.
- Handle data entry tasks related to client records or billing information with precision and confidentiality.
- Perform light bookkeeping duties including invoicing, expense tracking, and reconciling accounts using QuickBooks or similar software.
- Assist with personal assistant tasks such as travel arrangements or calendar management for executives when required.
- Demonstrate strong organizational skills by managing multiple priorities efficiently while maintaining attention to detail.
Experience
- Proven clerical or administrative experience in an office environment is required; prior experience as a receptionist or medical/dental receptionist is highly desirable.
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
- Familiarity with QuickBooks for bookkeeping purposes is preferred but not mandatory; training can be provided for the right candidate.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Strong communication skills—bilingual abilities are a plus—and professional phone etiquette are essential for success in this role.
- Experience managing multi-line phone systems and providing top-tier customer service is highly valued.
- Knowledge of office management procedures including filing systems, proofreading documents, and handling confidential information responsibly.
- Personal assistant experience or background supporting executives can be beneficial but is not required.
