Executive Assistant (Part-Time, Potential for Full-Time)
The Texas International Education Consortium (TIEC), based in Austin, Texas, is seeking an Executive Assistant to support and advance the daily work of the TIEC President and CEO, coordinate the executive office, and support operations. This position reports directly to the President and CEO. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment, enjoys multitasking, and can handle both personal and business-related tasks with discretion.
The Role
The Executive Assistant’s primary responsibility is to support the executive and operational functions of TIEC to ensure the smooth functioning of the executive office and to assist in operations. As an external face of TIEC and the President, the EA must represent the organization professionally in all interactions—whether in person, on the phone, or in writing. Executive duties include providing comprehensive administrative support to the CEO through scheduling, travel coordination, research, communications, event preparation, and follow-up on deadlines. The EA will also assist with the submission and reconciliation of receipts for the CEO’s company card and prepare travel vouchers and reimbursement documentation accurately and on time. The EA acts as an extension of the President, supporting her success by anticipating needs, managing priorities, and ensuring that details are handled efficiently and effectively.
The EA also interacts with all levels of the organization to help develop organizational processes, coordinate internal and external communications, and assist as needed in other tasks. The position requires strong organizational skills, sound judgment, and the ability to operate both independently and collaboratively in a small team environment.
It is essential that the incumbent understands their primary role is to ease the duties of the CEO through support and proactive assistance. As such, the EA takes direction from the CEO and supports execution of tasks tied to her deadlines, travels and activities. The EA must be available during evenings or after hours as needed when the president is traveling with compensatory time provided for additional work. Likewise, in order to properly support both the executive and operational needs of the organization, the EA will maintain close and regular communication with the CEO.
Special duties include those listed below, as well as other duties as assigned. The distribution of time spent on these responsibilities will vary throughout the year as organizational needs shift.
Responsibilities
Assist with communications from leadership to the staff on behalf of CEO;
Support project documentation, track deliverables, and follow up on deadlines;
Support the CEO with daily scheduling, travel, memo preparation, expense vouchers, both external and internal correspondence and follow-ups, and assistance with standard operating procedures;
Support team meetings through notetaking and follow ups;
Assist with the submission and reconciliation of receipts and expense reports related to the CEO’s company card and prepare travel vouchers and reimbursements in a timely and accurate manner;
Serve as a point of contact for internal and external stakeholders; screen calls, emails, and messages.
When time allows, assist TIEC social media and membership coordinator with external communications and presentation materials;
Coordinate tasks across units

Qualifications
- Proven experience (at least 3+ years) as an Executive Assistant, Administrative Assistant, or similar role (higher education/international affairs, related industry preferred).
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to maintain confidentiality and exercise discretion in handling sensitive info
