Role Description
STRATA is looking for an Accountant that will be responsible for maintaining accurate financial records, processing transactions, and supporting the company's accounting operations. This role ensures timely recording of sales, purchases, expenses, and inventory-related activities to provide a clear picture of the company's financial performance. The ideal candidate has strong attention to detail, solid accounting knowledge, and hands-on experience using QuickBooks to manage financial data in a merchandising or retail environment.
Key Responsibilities
General Accounting:
- Record and reconcile daily financial transactions, including sales, purchases, receipts, and payments. Maintain the general ledger and ensure all journal entries are posted accurately in QuickBooks.
- Set up and manage the chart of accounts to reflect company operations and merchandising activities.
- Perform month-end and year-end closings within QuickBooks, ensuring all financial data is complete and accurate.
- Reconcile bank and credit card accounts using QuickBooks reconciliation tools.
Accounts Payable & Receivable:
- Process vendor bills, enter invoices, and schedule payments through QuickBooks.
- Create and send customer invoices; manage receivables and apply payments.
- Monitor aging reports in QuickBooks and follow up on overdue accounts.
- Match purchase orders and receipts with vendor invoices for accuracy before entering into QuickBooks.
Inventory & Cost Accounting:
- Use QuickBooks inventory features to track merchandise purchases, returns, and stock levels.
- Support periodic inventory counts and reconcile differences between physical and QuickBooks records.
- Assist with cost of goods sold (COGS) tracking and ensure accurate posting of inventory adjustments.
- Coordinate with purchasing and sales departments to maintain up-to-date item lists and pricing structures.
Financial Reporting:
- Generate financial reports through QuickBooks, including profit and loss statements, balance sheets, and cash flow reports.
- Customize QuickBooks reports to provide actionable insights to management on sales, margins, and expenses.
- Export and organize data from QuickBooks for use in management dashboards and external reporting.
- Support audits by providing detailed QuickBooks transaction histories and documentation.
Compliance & Controls:
- Maintain organized QuickBooks files and ensure compliance with GAAP and internal accounting policies.
- Set user permissions and access levels in QuickBooks to ensure financial data security.
- Regularly back up QuickBooks data and support software updates or troubleshooting as needed.
Education & Experience:
- Associate or Bachelor's degree in Accounting, Finance, or related field.
- 2-5 years of bookkeeping or accounting experience (preferably in merchandising, retail, or wholesale distribution). Proficiency in QuickBooks Online is required.
- Experience managing multiple company files or departments within QuickBooks is a plus.
- Advanced Excel skills
