The Role
The Executive Administrative Assistant will drive efficiency across the leadership team by managing executive calendars, coordinating travel, and providing high-level administrative and strategic support. This role is critical in ensuring smooth operations, effective communication, and well-organized internal events across Stocktwits. By maintaining organized workflows, anticipating needs, and fostering proactive communication, you’ll help the leadership team optimize their time, stay aligned on priorities, and focus on strategic growth and operational excellence.
What you'll do
- Manage calendars, appointments, and meetings for executives, ensuring efficient scheduling and prioritization.
- Coordinate domestic and international travel, including logistics, accommodations, and itineraries.
- Act as a primary point of contact for the Chief Operating Officer and Chief Commercial Officer with both internal staff and external senior executives.
- Provide strategic administrative support, proactively identifying inefficiencies, auditing systems, and suggesting process improvements.
- Assist with onboarding for new hires within the executive team.
- Lead coordination of internal events, including off-sites, board meetings, and team-building activities.
- Manage expense reports and submissions for senior leaders.
Qualifications
- Exceptional organizational and time management skills.
- Strong problem-solving abilities and attention to detail.
- Excellent written and verbal communication skills.
- High proficiency with office productivity and collaboration tools (e.g., Google Workspace, Slack, Zoom).
- Adaptability and flexibility in a fast-paced environment.
- Experience supporting an executive team is required.
- New York–based candidates are preferred, but this is not a requirement.
The pay range for this role is: 75,000 - 90,000 USD per year(Remote (United States))
