About the Role
The Executive Assistant to the Founder is a trusted, highly capable professional who ensures the smooth, efficient, and polished operation of the Executive Office at Tigerlily Foundation. This role provides comprehensive administrative and logistical support to the Founder, with a strong focus on calendar management, proactive communication, and strategic coordination of priorities.
The ideal candidate thrives in a fast-paced, high-expectation environment and takes pride in precision, responsiveness, and professional excellence. The Founder holds exceptionally high standards and depends on this role to anticipate needs, communicate clearly on her behalf, and act with a consistent sense of urgency. This is a dynamic position suited for someone who is proactive, discreet, and always a few steps ahead.
Key Responsibilities
- Serve as the primary gatekeeper for the Founder’s time, calendar, and communications, ensuring focus remains on high-impact priorities.
- Manage a complex and constantly evolving schedule, coordinating internal and external meetings across multiple time zones.
- Communicate proactively on the Founder’s behalf with internal and external stakeholders, ensuring clarity, professionalism, and timely follow-up.
- Monitor and manage high-volume email and message traffic, triaging requests, drafting responses, and maintaining organized correspondence.
- Prepare daily and weekly briefings, meeting agendas, and follow-up summaries to keep the Founder informed and ready for each engagement.
- Coordinate logistics for virtual and in-person meetings, ensuring technology, materials, and attendees are prepared in advance.
- Book and manage all aspects of travel, including domestic and international flights, hotels, ground transportation, and meeting logistics.
- Maintain organized digital filing systems and ensure quick access to key documents and materials.
- Prepare and reconcile expense reports, reimbursements, and other administrative documentation.
- Anticipate needs, resolve issues independently, and keep projects and commitments on track.
- Act with a high degree of discretion, professionalism, and responsiveness in every interaction.
Qualifications
- Minimum of 5 years of executive-level administrative experience, ideally supporting a founder, CEO, or senior executive in a high-performing or mission-driven organization.
- Advanced proficiency in Microsoft Office Suite, Google Workspace, Zoom, Microsoft Teams, and Slack.
- Demonstrated success managing complex schedules, communications, and competing priorities with precision and calm efficiency.
- Proven experience booking and managing detailed travel itineraries and logistics.
- Exceptional written and verbal communication skills, with the ability to communicate confidently and diplomatically on behalf of executive leadership.
- Strong organizational skills, attention to detail, and judgment in handling confidential matters.
- Highly proactive, self-motivated, and able to anticipate needs before they arise.
- Operates with urgency, adaptability, and poise in fast-moving situations.
