Job Summary:
The Executive Assistant provides comprehensive administrative support to the Executive Team, ensuring efficient management of schedules, travel coordination, and communication across internal and external stakeholders. This role is responsible for managing complex calendars, preparing detailed travel itineraries, and assisting with expense reporting and document preparation. The position plays a key role in maintaining operational efficiency and supporting the strategic initiatives of the organization’s leadership team.
Key Responsibilities:
- Manage the Executive Team’s calendars, appointments, and meeting logistics.
- Coordinate complex and detailed travel plans, itineraries, and accommodations.
- Prepare meeting materials, reports, and briefing documents for leadership events.
- Complete and process expense reports, ensuring accuracy and compliance with company policies.
- Assist with invoice processing, including verification, routing, and payment support.
- Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
- Research, prioritize, and follow up on issues and concerns addressed to the Executive Team.
- Manage competing priorities and deadlines with accuracy and attention to detail.
- Support special projects and perform additional administrative duties as assigned.
Minimum Education & Experience Requirements:
- Bachelor’s degree preferred; High School diploma or equivalent required.
- Minimum of 8 years of experience providing executive-level administrative support.
- Proven experience managing schedules, travel coordination, and expense reporting for senior executives.

- Flexibility to occasionally work evenings or weekends based on business needs.
- Ability to handle sensitive and confidential information with discretion.
Knowledge, Skills, and Abilities:
- Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Exceptional organizational, time management, and multitasking abilities.
- Skilled in prioritizing workload, anticipating needs, and managing complex logistics.
- Ability to work independently with minimal supervision.
- Demonstrated professionalism, discretion, and composure under pressure.
