About the Role
This role is more than an Executive Assistant, it’s the Integrator who ensures that the CEO’s visionary ideas translate into organizational clarity, progress, and impact. You’ll be the operational counterpart to a high-vision, high-energy leader: keeping the team aligned, priorities clear, and systems humming.
You’ll work closely with an exceptional, mission-driven team tackling complex global challenges. You’ll turn big-picture thinking into daily execution, ensuring everyone is rowing in the same direction.
Key Responsibilities:
Strategic Integration & Operational Alignment
- Translate the CEO’s ideas and vision into clear priorities, plans, and deliverables across teams.
- Serve as the primary bridge between the CEO and department leads, ensuring alignment on goals, priorities, and timelines.
- Maintain organizational rhythm through regular check-ins, status updates, and accountability systems that keep projects on track.
- Anticipate challenges and remove obstacles before they escalate, ensuring consistent progress on key initiatives.
Executive Partnership
- Partner closely with the CEO to manage time, energy, and focus. prioritizing the highest-value activities and decisions.
- Serve as a sounding board and trusted advisor, offering grounded perspective and actionable insight.
- Ensure follow-through on CEO commitments and strategic initiatives across all departments.
- Represent the CEO in meetings when needed, ensuring their vision and standards are clearly communicated.
Administrative & Logistical Excellence
- Manage the CEO’s calendar, travel, and communications with precision, professionalism, and foresight. Be available for any unforeseen issues and resolve them immediately.
- Prepare materials, agendas, and briefings for meetings and presentations.
- Coordinate internal and external communications to ensure clarity and responsiveness.
- Handle confidential matters with discretion and integrity.
Project & Meeting Management
- Drive project execution from concept to completion, tracking deliverables, timelines, and outcomes.
- Plan and facilitate leadership meetings, ensuring action items and decisions move forward efficiently.
- Partner with cross-functional teams to support both client-facing and internal initiatives.
Culture & Team Connection
- Help maintain organizational clarity and cohesion, ensuring the CEO’s leadership style and company culture scale effectively.
- Foster strong relationships across departments, balancing empathy with accountability.
- Serve as a stabilizing force and communication hub in a fast-moving, mission-driven environment.
Infrastructure, Research & Campaign Project Management Support
- Assist in the development and ongoing maintenance of agency processes and systems to improve operational efficiency.
- Support the preparation and distribution of comprehensive monthly and quarterly reports to highlight key KPIs, impact, and project updates.
- Maintain accurate and organized documentation to assist with strategic planning and operational transparency.
- Collaborate with project leads as needed to monitor research and campaign progress, ensuring each phase aligns with established timelines and deliverables.
- As needed facilitate project management tracking, follow-ups, and deadline management to ensure timely delivery of research and campaign components.
DC Office Manager
- Oversee daily operations of the DC office, ensuring it runs smoothly and efficiently.
- Manage office supplies, vendor relationships, and workspace arrangements.
- Coordinate logistics for team events, meetings, and client visits to create a productive, welcoming environment.
Qualifications:
- Bachelor’s degree in Business, Communications, or a related field preferred.
- 5+ years of experience as an Executive Assistant, Chief of Staff, or Integrator supporting senior leadership, ideally in communications, digital strategy, or advocacy environments.
- Exceptional organizational and project management skills, able to bring structure to ambiguity.
- Excellent written and verbal communication skills, with an ability to synthesize complex information quickly.
- High EQ, discretion, and integrity - you can manage sensitive information and navigate a wide range of personalities gracefully.
- Skilled in Google Workspace and/or Microsoft Office, with experience using task management and productivity tools (e.g. Asana, Notion, ClickUp, or Monday.com).
- Confident working independently, anticipating needs, and driving alignment across a distributed team.
- Adaptable, proactive, and calm under pressure, comfortable operating in a dynamic, purpose-driven organization.
