Remote Office Assistant (For Small HVAC Company)
We’re a small, family-run HVAC company looking for a Remote Office Assistant to help keep our operations organized and running smoothly. If you’re detail-oriented, proactive, and enjoy bringing structure to a busy day — we’d love to work with you!
Responsibilities include:
- Managing and organizing emails, project updates, and vendor communications
- Keeping track of work orders, materials, and deliveries
- Assisting in creating and improving office workflows and systems (for scheduling, job tracking, invoices, etc.)
- Organizing and maintaining digital files, forms, and project folders
- Helping prepare quotes, proposals, and invoices
- Coordinating technician schedules and following up on job progress
- Tracking vendor orders, materials, and equipment availability
- Providing reminders, updates, and task management support to the owner
- Light bookkeeping or record keeping (experience a plus)
Ideal Candidate:
- Highly organized and great at time management
- Strong communication and follow-up skills
- Tech-savvy (comfortable with email, spreadsheets, and digital tools)
- Able to take initiative and improve systems
- Previous experience in office administration, HVAC, construction, or service-based business is a plus
