Key Responsibilities:
- Handle inbound and outbound calls, emails, and online inquiries from new and existing clients.
- Schedule design consultations, project meetings, and follow-up appointments for the design team.
- Confirm appointments, send reminders, and provide clients with necessary meeting details or materials.
- Maintain and update the scheduling calendar to ensure all designers’ appointments are accurately recorded.
- Communicate promptly with clients regarding availability, scheduling changes, or rescheduling needs.
- Collaborate closely with designers, project managers, and administrative staff to coordinate project timelines.
- Track appointment metrics, cancellations, and reschedules to support efficiency goals.
- Manage client data in CRM or scheduling software .
- Provide friendly and professional customer service to enhance client satisfaction.
- Support administrative tasks such as data entry, document management, and client follow-up.
- Assist in organizing virtual consultations and coordinating time zones for remote meetings.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- Prior experience in appointment scheduling, customer service, or administrative coordination.
- Strong communication and interpersonal skills.
- Excellent time management and organizational abilities.
- Proficiency in scheduling or CRM platforms.
- Tech-savvy and comfortable working with online calendars and remote communication tools .
- Ability to work independently in a remote environment with minimal supervision.
- Reliable internet connection and a quiet, professional workspace.
