Key Responsibilities:
- Manage inbound calls, emails, and online inquiries to schedule and confirm appointments.
- Coordinate schedules for staff, clients, and departments to ensure efficient time management.
- Maintain accurate and up-to-date appointment calendars and databases.
- Send appointment confirmations, reminders, and follow-up communications to clients.
- Reschedule or adjust appointments when necessary and communicate updates promptly.
- Collect relevant information from clients to prepare for scheduled meetings or services.
- Communicate professionally and courteously with clients, team members, and partners.
- Track appointment statistics, cancellations, and follow-up activities.
- Support administrative tasks such as data entry, document preparation, and digital filing.
- Collaborate with internal teams to ensure smooth coordination and client satisfaction.
- Uphold confidentiality and professionalism in all communications and data handling.
Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred.
- Previous experience in scheduling, customer service, or administrative support preferred.
- Strong written and verbal communication skills.
- Excellent organizational and time management abilities.
- Proficiency in scheduling and office software.
- Comfortable working independently in a fully remote environment.
- Reliable internet connection and a distraction-free home workspace.
