Position Overview:
The Senior Executive Assistant will provide high-level administrative and operational support to ClearPoint Health’s Product and Business Operations leaders, including the Chief Technology Officer and Chief Financial Officer. This role is critical to ensuring the efficiency and organization of these departments, managing complex calendars, coordinating meetings, supporting project execution, and acting as a liaison between key internal and external stakeholders. The Senior Executive Assistant will contribute to business continuity by helping manage cross-functional initiatives, tracking key deliverables, and organizing leadership-level content for team meetings, operating reviews, and external engagements.
Responsibilities:
- Manage complex calendars for Product and Business Operations leaders, including scheduling high-priority internal and external meetings.
- Coordinate logistics for cross-functional meetings, including agenda development, presentation materials, and follow-ups.
- Prepare internal documentation, presentations, and communication for department-wide updates, QBRs, or project check-ins.
- Book travel, accommodations, and itineraries for Product and Business Operations leadership, with attention to efficiency and cost.
- Serve as a communication liaison with internal teams, clients, and vendor partners as needed.
- Support coordination and logistics for business operations initiatives, offsites, and internal planning sessions.
- Track progress on key projects, departmental deliverables, and deadlines to ensure execution remains on schedule.
- Maintain documentation and confidential records with a high level of discretion and accuracy.
- Anticipate scheduling or operational needs, resolving issues proactively to maintain departmental flow.
- Support planning and coordination of leadership reporting, monthly business reviews, and cross-functional updates.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 5+ years of experience as a Senior Executive Assistant, preferably supporting C-level executives.
- Exceptional organizational and time-management skills, with the ability to prioritize and manage multiple tasks.
- Strong written and verbal communication skills, with an emphasis on professionalism and clarity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Asana, etc.).
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Proactive and resourceful, with a problem-solving mindset and a high degree of attention to detail.
- Ability to thrive in a fast-paced environment and adapt to changing priorities.
- Strong interpersonal skills and the ability to build relationships across all levels of the organization.
Job Type: Full-time
Base Pay: $125,000.00 - $135,000.00 per year
