About the Role:
This Executive Assistant role is at the heart of a fast-moving, early-stage startup where no two days look the same and everything you do has an immediate impact.
You’ll work directly with our CEO as a true partner and support in getting things done, managing schedules, coordinating meetings, maintaining focus, clearing roadblocks, and bringing structure to the chaos that comes with building something from scratch. This is not a buttoned-up, hyper-corporate EA gig. It’s a role for someone who thrives in an environment where priorities shift quickly, initiative is everything, and flexibility is critical.

Responsibilities:
- Calendar Management and Meeting Coordination: Organize and manage complex calendars for the CEO, including scheduling a high volume of meetings, appointments, and occasional travel arrangements. Prioritize conflicting demands and ensure timely attendance to important meetings and events.
- Communication: Screen and respond to internal and external emails and inquiries on behalf of the CEO. Keep track of all correspondence, prioritizing meeting times effectively and ensuring important action items are closed out quickly.
- Meeting Preparation: Prepare the CEO for all types of meetings (sales, fundraising, etc.), including conducting background research, compiling relevant data, and creating comprehensive briefing documents. Comfort creating or editing short AI-powered video demos for sales conversations (with training provided) is a must!
- Project Management Assistance: Assist the CEO in managing various projects by coordinating timelines, tracking commitments, following through on deliverables, and facilitating communication between stakeholders.
- Tech & AI Fluency: Quickly pick up new AI tools and leverage technology to streamline work. Stay proactive in suggesting more efficient workflows or tool adoption.
- Relationship Management: Build and maintain positive working relationships with internal and external stakeholders, including customers, partners, vendors, and colleagues.
- Light Personal Coordination: Handle light personal tasks such as online orders, reservations, and scheduling.
Requirements:
- Bachelor’s degree preferred, or equivalent combination of education and experience.
- 3+ years of experience as an executive assistant supporting a C-level executive.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
- Ability to effectively and efficiently drive meeting agendas and cover multiple topics within a short period of time.
- Proficiency in GSuite (Google Calendar, Google Sheets, etc.).
- Proficiency working with CRM software (Hubspot).
- Experience working with a Project Management Tool (Jira, Monday.com, etc.) is a plus.
- Strong tech-forward mindset; quick to learn new platforms and comfortable working in AI-powered environments.
- Strong attention to detail and accuracy in all tasks. Nothing slips through the cracks.
- Flexibility and adaptability to changing priorities, requirements, and schedules.
- Ability to handle confidential information with discretion and professionalism.
- Positive, proactive, and comfortable working independently or as part of a small, scrappy team.
