Job Description:
VOX, Inc., a renowned Voice Over and Endorsements agency, is seeking a detail-oriented and proactive Assistant to support the company. This person would support to the CEO, covering needs across his desk, as well as support the VP of Endorsements in managing brand partnerships and podcast deals for our wide range of celebrity clients.
This is an entry level job, and we are looking for someone who will be an enthusiastic partner, handling day-to-day administrative and project-based tasks with a high degree of efficiency. Key responsibilities across both CEO and VP of Endorsements include managing e-mail correspondence, helping to run company social media, scheduling meetings, booking travel, conducting research for new campaigns, and meticulously managing client and deal-related data across multiple platforms, including CRM and internal databases. This person will be responsible for the full lifecycle of a deal's administrative backend, from initial client paperwork and contact management to invoicing and contract tracking.
This person would also learn and understand the needs and technical process across VOX’s Voice Over Department, and would be tapped for coverage to support auditions, etc., in the event of absences.
This role requires a strong sense of urgency, excellent organizational skills, and the ability to prioritize tasks in a fast-paced environment to ensure smooth operations and timely deal execution. Job Requirements:
Experience:
- College graduate with a bachelor’s degree.
- Ideally a minimum of 2+ years of administrative or assistant experience, preferably in the entertainment, talent, or endorsements industry.
- Demonstrated experience with managing a high volume of tasks and deadlines in a dynamic, fast-paced environment.
- Proven ability to handle sensitive and confidential information with discretion.
Skills:
- Familiarity with social media platforms and influencer/celebrity trends.
- Exceptional organizational skills and meticulous attention to detail.
- Proficiency in calendar management, email correspondence, and task prioritization.
- Strong computer skills with proficiency in Google Suite (Docs, Sheets, Drive) and a high level of comfort learning new software platforms
- Excellent written and verbal communication skills.
- Ability to conduct thorough and efficient research using various online tools and databases.
