Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO.. The ideal candidate will possess exceptional administrative skills and have a strong background in office management, project coordination, and administrative support. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining professionalism and confidentiality.
Responsibilities
- Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments.
- Coordinate and plan events, meetings, and travel arrangements as needed.
- Manage office operations, ensuring a smooth workflow and efficient use of resources.
- Assist with project coordination by tracking progress, deadlines, and deliverables.
- Maintain organized records through effective filing systems and data entry practices.
- Serve as the first point of contact for internal and external communications, demonstrating excellent phone etiquette.
- Prepare documents, presentations, and reports with high attention to detail, including proofreading and transcription tasks.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative functions.
- Support customer service initiatives by addressing inquiries and providing assistance as needed.
- Attend, document, summarize and organize meetings notes.
Experience
- Proven experience in an administrative role with a strong emphasis on office management.
- Proficient in Microsoft Office Suite (including Outlook Calendar) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
- Strong typing skills with attention to detail for accurate data entry and document preparation.
- Experience with multi-line phone systems and front desk operations is advantageous.
- Demonstrated ability to maintain confidentiality while managing sensitive information.
- Strong interpersonal skills with a customer service-oriented mindset.
- Previous experience in event planning or project coordination is a plus.
