Administrative Assistant Job description
Job Brief:
The administrative assistant (AA) keeps our small company running! They are responsible for assisting with the day-to-day operations that support clinical staff and the director. Even though they work remotely, they are the front-facing member of the organization.
Responsibilities:
The AA is responsible for a variety of tasks including emails, phone calls, weekly/monthly tasks, organization and management of documents, communication with staff, clients, and stakeholders, and other administrative tasks.
The AA reports to the owner/clinical director and will be responsible for completing tasks as assigned ahead of due dates. A weekly report must be maintained, and the AA must attend regularly scheduled (virtual) meetings with the owner/clinical director.
This position is considered almost fully remote, the AA works from their home for almost all hours. There will only be minimal in-person meetings with the clinical director (once per month, quarterly, or not at all, depending on the individual). Other in-person meetings, such as company-wide meetings/trainings are optional.
The AA must make themselves available for calls/texts on a set weekly schedule for 3-6 hours per week, but all other hours may be performed at any day/time the AA chooses (as long as work is completed by deadlines assigned). As such, this position has a high degree of flexibility and autonomy.
The AA must supply their own phone, computer, and internet, but will be paid a reimbursement for the use of these items on their bi-weekly paychecks. They will be provided with minimal office supplies (such as paper, pens, etc.) and other items needed to perform job duties (for example, a laminator and Velcro to make materials), as applicable.

- Excellent communication skills, both in speech and in writing

- Ability to complete a wide variety of administrative tasks
- Ability to work autonomously and independently
- Ability to accomplish tasks with minimal oversight
- High level of self-sufficiency and problem-solving skills
Requirements:
- At least 18 years of age
- High school diploma or GED
- A personal phone and laptop/computer
- Home internet that supports multiple applications and video calls
- Experience working with digital applications (eg., Word, spreadsheets, Google Docs, email, etc.)
- Must not be a current clinical member of the MBC team
- Experience in any capacity with medical and/or behavioral health, preferred
- Knowledge of Erie County, PA, preferred
The AA must obtain the following clearances (or they must be less than 1 year old as of the start date):
- Child abuse history clearance
- PA State police criminal history check
- PA 3-hour mandated reporter training

Hours:
10 hours per week (note: this position may grow over time), including one weekday per week from 8:30-11:00am EST, on a set schedule
