Your Core Responsibilities

Affiliate Launch Operations & Coordination
Own flawless execution for two major launches annually (10-12 weeks each). Build master project calendars mapping every email, deadline, and deliverable. Compile affiliate promotional guides, schedule all nurture and launch emails in Go High Level, track sales and commission payouts in Rootabl, troubleshoot attribution issues, monitor leaderboards, manage prize fulfillment, and respond to affiliate questions within 2 hours. Chantelle handles strategy and high-touch relationships; you ensure the machine runs without a hitch.
Event Coordination & Project Management
Lead logistics for team retreats, client events, and affiliate activations from concept to completion. Source venues, negotiate pricing, coordinate catering and travel, build attendee guides, manage vendor contracts and payments, and create detailed project plans with timelines and dependencies. Document every process in Notion so future events are plug-and-play. You're the person who thinks of the welcome notes on bathroom mirrors and ensures the photographer gets paid on time.
Partnership Pipeline & Inbox Management
Monitor Callan's DMs and partnership inbox daily. Triage requests, flag high-priority speaking and collaboration opportunities to Chantelle same-day, respond professionally to low-fit inquiries using SOPs and templates. Build outreach tracking spreadsheets, send cold outreach and follow-ups from provided databases, track responses, flag hot leads, send contracts once deals close, and maintain an organized digital paper trail so nothing slips.
Systems Building & Notion Infrastructure
Take Chantelle's strategic vision and build beautiful, functional systems in Notion that the entire team can reference and replicate. Create SOPs, tracking databases, project hubs, and process maps that turn chaos into clarity. You're proficient enough in Notion to independently structure information, link databases, and build scalable systems without needing tutorials or hand-holding.
Email Sequencing & CRM Tracking
Draft and organize email sequences based on Chantelle's ideas—structuring welcome series, reminder emails, and nurture campaigns that are ready for the technical team to load into Go High Level. Navigate CRMs like Rootabl and Go High Level to track leads, pull performance reports, troubleshoot attribution issues (like matching orphaned sales to the right affiliates), and maintain clean data so nothing falls through the cracks.
Proactive Problem-Solving & Gap-Filling
You spot problems before anyone asks—identifying workflow bottlenecks, flagging missing steps in processes, and proposing solutions without waiting for permission. You don't just execute tasks; you optimize them and suggest improvements that make systems more efficient. Step into operational gaps the team needs filled—whether that's marketing ops during transitions, live launch troubleshooting, vendor coordination, or cross-functional coverage. We value Swiss Army knife flexibility and "all other duties as assigned" mentality over rigid role boundaries.

Event Coordination Flawlessness: Vendor contracts signed and paid on time, all event logistics documented in replicable Notion SOPs, zero day-of surprises due to missed details.
Inbox & Partnership Pipeline Management: Incoming DMs/requests triaged within 24 business hours, high-priority opportunities flagged same-day, all outreach tracked with follow-up dates logged, contracts sent within 24 business hours of verbal close.
System Reliability & Documentation: All affiliate resources organized and accessible in Notion, email automations tested and functional, landing pages live and error-free, project plans updated and shared with stakeholders without prompting.
Launch Season Expectations
Our launch seasons are intentionally high-intensity and fast-paced to drive transformation for our clients and our team. Twice per year (10-12 weeks total), team members in launch-critical roles are expected to be available from 7 AM to 7 PM, with additional hours often required for preparation, execution, live event support, and post-launch debriefs.
This pace is not for everyone—and that's okay. We set this expectation clearly so that only those who thrive in high-accountability, high-impact environments choose to be here.
