We’re looking for a highly organized, detail-oriented Mortgage Administrative Assistant (Loan Partner 1) to join our high-performance mortgage team.
This role is the backbone of our daily operations — managing new leads, scheduling appointments, keeping our database organized, and providing top-notch client care from first contact through the loan process. You’ll work directly with our Loan Officer and team to ensure nothing falls through the cracks, communication is seamless, and every client feels valued.
If you thrive in a fast-paced environment, enjoy talking to people, and take pride in keeping things running smoothly, this is your chance to join a team with a 5-star reputation and opportunities to grow.
Starting pay is $20/hour with bonus opportunities based on performance.
Compensation:
$20 - $25 hourly
Responsibilities:
- Contact new leads within 4 hours, track them in the CRM, and maintain high lead-to-appointment and lead-to-application ratios.
- Schedule and confirm 20+ weekly appointments for the Loan Officer and team, ensuring all are confirmed 24+ hours in advance.
- Keep the database organized, send birthday and home anniversary cards, manage mailers, and coordinate 2+ monthly client or partner events.
- Provide exceptional customer service to clients, partners, and vendors through timely, professional communication via phone, email, and text.
- Manage the Loan Officer’s calendar, prepare for daily meetings, and ensure they stay on track with appointments and deadlines.
- Assist with email management, expense reports, and other administrative duties to keep operations running smoothly.
- Generate daily, monthly, and quarterly lead management reports to track performance and identify opportunities for improvement.
Qualifications:
- Outgoing, positive personality with a can-do attitude — must enjoy talking to and helping people.
- Strong organizational and time management skills with the ability to prioritize and multitask in a fast-paced environment.
- Excellent verbal and written communication skills with a professional and friendly phone presence.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote); experience with CRM systems a plus.
- Detail-oriented with strong follow-through to ensure nothing falls through the cracks.
- Ability to work under pressure, meet deadlines, and adapt quickly to changing priorities.
- Experience in mortgage, real estate, or financial services preferred, but not required.
