We are seeking a highly organized, adaptable, and proactive Virtual Assistant to support our growing operations. In this generalist role, you’ll handle a variety of administrative, marketing, and operational tasks to help our team work efficiently and keep our real estate deals moving forward.
Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare and edit documents, spreadsheets, and presentations.
- Organize and maintain digital files and records.
Communications & Coordination
- Handle email correspondence and respond to inquiries promptly.
- Update and manage CRM data.
- Act as a liaison between team members, vendors, and clients.
Marketing Support
- Post and update property listings on MLS, Zillow, Facebook Marketplace, and other platforms.
- Assist with social media content creation and scheduling.
- Create and send email marketing campaigns.
Transaction & Project Support
- Conduct property research, including pulling comps and market data.
- Track project timelines, budgets, and deliverables.
- Prepare property-related documentation and reports.
Other Tasks as Needed
- Light bookkeeping support (tracking expenses, creating invoices).
- Vendor coordination and follow-up.
Required
- 2+ years of administrative or virtual assistant experience (real estate experience preferred).
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Proficiency with Google Workspace (Docs, Sheets, Drive) and/or Microsoft Office Suite.
- Familiarity with CRM software (e.g., Podio, Salesforce, HubSpot).
- Ability to manage multiple priorities and meet deadlines independently.
- Reliable computer, high-speed internet, and a quiet workspace.
Preferred
- Experience in real estate, property management, or investments.
- Basic knowledge of QuickBooks or similar accounting tools.
- Familiarity with listing platforms and social media marketing tools (Canva, Hootsuite, etc.).
