We are looking for a warm, welcoming, and responsible Mental health program Coordinator to perform various administrative and clerical tasks. Duties of the Mental Health Program Coordinator include providing support to our wonderful Mental Health Intensive Outpatient and Partial Hospitalization Programs (IOP and PHP) clients and potential clients, as well as our managers and employees. Additionally, you will assist with daily office needs, and our programs' general administrative activities as needed.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like MS Excel and office equipment. Ultimately, a successful Heath Program Coordinator should ensure our program's efficient and smooth day-to-day operation in our Downtown San Jose office.
Responsibilities include but are not limited to:
- Act as the point of contact for interested parties and current clients
- Front desk reception
- Answer and direct phone calls
- Follow up with interested or current clients within 2 business days
- Continually track which client matters have not been resolved yet
- Organize and schedule appointments
- Create and maintain filing systems, both electronic and physical
- Data entry into MS Excel spreadsheets
- Write and distribute emails, correspondence memos, letters, faxes, and forms
- Schedule patient appointments
- Enter patient information into practice management software
- Filing, and creating new patient charts, as well as other clerical duties as assigned
- Check-in patients
Skills
- Proven experience as an administrative assistant or office admin assistant (Preferred)
- Familiar with medical practice management software and pharmacology
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Working knowledge of office equipment, like printers and fax machines
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Able to maintain a positive working relationship with all staff, physicians, and clinical personnel
- Strong customer service skills
