Highly organized and proactive Executive Assistant with strong event planning skills to provide comprehensive administrative support to the executive team. This individual will be responsible for managing a variety of tasks, ranging from scheduling, and coordinating meetings to organizing corporate events, conferences, and team-building activities. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to manage multiple tasks simultaneously while ensuring smooth day-to-day operations.
This is a remote position.
JOB RESPONSIBILITIES: Executive Assistance:
- Provide administrative support to executives, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Prepare reports, presentations, and other documents as needed.
- Maintain and update filing systems, ensuring confidentiality and accuracy of all records.
- Act as the secondary point of contact between executives, staff, clients, and external stakeholders.
- Handle day-to-day inquiries and prioritize tasks to ensure effective time management for the executive team.
- Coordinate and manage communications, including emails, phone calls, and correspondence.
Event Planning:
- Organize and coordinate corporate events, conferences, meetings, and off-site activities.
- Work closely with internal teams and external vendors to manage event logistics, including venue selection, catering, transportation, accommodations, and technology requirements.
- Assist in creating event timelines, agendas, and promotional materials.
- Ensure events are executed smoothly, within budget, and aligned with company objectives.
- Track event budgets, handle invoices, and ensure financial records are accurate.
- Manage event marketing and post-event follow-ups, including surveys and feedback collection.
Additional Responsibilities:
- Handle special projects as assigned by the executive team.
- Maintain confidentiality on sensitive company matters and uphold professional standards.
- Provide support in office management, including ordering supplies and managing office equipment.
JOB REQUIREMENTS:
- Proven experience as an Executive Assistant or in a similar administrative role, preferably with event planning experience.
- Strong organizational and time-management skills.
- Ability to handle multiple priorities and meet deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and event management software.
- Knowledge of event planning processes, vendor management, and budgeting.
- High level of professionalism and discretion when dealing with confidential information.
- Bachelor’s degree in business administration, hospitality, or a related field is a plus.
- Approximately 20% travel to attend corporate events.
Successful completion of a drug test and pre-employment background screening is required. MVR checks are required for all driving positions.
