Job Summary
We are seeking a motivated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, be proficient in various office software, and have a keen attention to detail.
Responsibilities
- Manage and maintain calendars, scheduling appointments and meetings as necessary.
- Greet visitors and clients warmly, providing exceptional customer service.
- Answer phone calls, directing inquiries to the appropriate personnel while maintaining professionalism.
- Perform clerical duties including filing, data entry, and document preparation.
- Assist with bookkeeping tasks using QuickBooks as needed.
- Maintain office supplies inventory and place orders when necessary.
- Support other administrative staff with various tasks as required.
- Ensure the reception area is tidy and presentable at all times.
- Handle correspondence, both electronic and paper-based, efficiently.
Requirements
- Proven experience as a receptionist or in a similar administrative role.
- Strong computer literacy with proficiency in Microsoft Office Suite and QuickBooks.
- Excellent calendar management skills with the ability to prioritize tasks effectively.
- Bilingual abilities are a plus, enhancing communication with diverse clientele.
- Previous experience in a dental office setting is preferred but not required.
- Exceptional organizational skills with attention to detail in all tasks performed.
- Strong customer service orientation with the ability to handle inquiries professionally.
- Ability to work independently as well as part of a team in a fast-paced environment.
