Job Title: Personal Secretary to CEO/CMO

Job Summary: We are seeking an experienced and highly organized Personal Secretary to support the CEO/CMO of a leading hospital. The ideal candidate will have a proven track record of working in a similar role within the healthcare sector, demonstrating exceptional administrative and managerial skills.
Key Responsibilities:
Administrative Support:
· Manage the CEO/CMO’s calendar, schedule meetings, and appointments.
· Handle incoming calls, emails, and correspondence on behalf of the CEO/CMO.
· Prepare and edit documents, reports, and presentations.
Travel Coordination:
· Arrange complex travel itineraries, including flights, accommodations, and transportation.
· Ensure all travel arrangements are seamless and cost-effective.
Meeting Management:
· Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
· Ensure all meeting materials are prepared and distributed in advance.
Communication:
· Act as the first point of contact for internal and external stakeholders.
· Maintain effective communication channels between the CEO/CMO and other departments.
Confidentiality:
· Handle sensitive information with the utmost discretion and confidentiality.
· Ensure all confidential documents are securely stored and managed.
Project Management:
· Assist in the planning and execution of special projects and initiatives.
· Track project progress and provide regular updates to the CEO/CMO.
Office Management:
· Maintain an organized and efficient office environment.
· Manage office supplies and equipment, ensuring everything is in working order.
Rotational Shifts:
Be flexible to work in rotational shifts as required by the hospital’s operational needs.
Qualifications:
Experience: 10-15 years of experience as a Personal Secretary, preferably in a hospital setting.
Education: Bachelor’s degree in Business Administration, Healthcare Management, or a related field.
Skills:
· Excellent organizational and time-management skills.
· Strong written and verbal communication abilities.
· Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
· Ability to work independently and handle multiple tasks simultaneously.
· High level of professionalism and attention to detail.
Preferred Qualifications:
· Previous experience working directly under a CEO or CMO in a hospital.
· Familiarity with healthcare industry regulations and standards.
· Ability to adapt to a fast-paced and dynamic work environment.
Location:
Candidates from Bengal are preferred.
