Bookkeeper / Administrative Assistant – Operations (Remote position)
Reports to - Executive Director
Position - Remote, Full-Time
Status - Hourly, non-exempt, part-time Compensation - $22-25 per hour
OVERVIEW
CIES is a 501 (c)(3) non-profit organization established in 1976 and specializing in the conservation of natural resources in the Channel Islands. Over the last 45+ years, CIES has grown into a well-respected organization dedicated to island conservation actions including seabird research, monitoring, habitat restoration, and environmental education. We are seeking an Administrative Assistant /Bookkeeper who will support accounting and project related administrative tasks.
The ideal candidate is confident, detail-oriented, accurate, and can adapt well to CIES’s pre-existing infrastructure. An applicant based in California, ideally Ventura County, with an interest in environmental conservation is a plus.
This position will be 40 hours/week, remote with occasional in-person office meetings, as needed.
ROLES & RESPONSIBILITIES
Accounting Admin
- Bookkeeping - Quick Books Data Entry of Invoices, Expenses, Credit Card expenditures, etc.
- Bookkeeping – Monthly reconciliation of checking, savings, and credit card accounts
- Bookkeeping – Invoicing and billing entries
- Payroll - Manage the monthly timesheets of various employees
- Payroll – Enter new employee data/information into Paychex platform
- Creating an accounting related calendar with relevant payment dates, financial reporting deadlines.
General Administrative Assistance
- Organization of electronic files
- Maintain office calendars
- Assist with logistics and planning for CIES employees travel and lodging

Qualifications
- Proficient in accounting principles and GAAP standards
- Experience with double entry bookkeeping and general ledger accounting
- Skilled in using accounting software, particularly QuickBooks and Paychex
- Strong ability in balance sheet reconciliation and financial report writing
- Knowledge of accounts payable and receivable processes
- Familiarity with payroll management and tax experience
- Excellent attention to detail and organizational skills
- Strong communication and collaborative abilities
- Excellent time-management skills and ability to work independently
