We are focused on supporting our community and providing sound estate planning tools for our clients. Greenwood Law, LLC is a startup firm focused on estate planning, probate, and adult guardianships among other areas of law. This role may be hired as part-time or full-time based on your willingness and the needs of the Firm.
About You
At the entry level you have experience with word processing (such as Microsoft Word) and email/calendar tools (like Outlook or Gmail). You are familiar with the use of scanners printers and other office equipment. You are able to work at the Firm’s office in Chicago, Illinois, occasionally. You will obtain and maintain a notary appointment from Illinois after employment. You will maintain accurate and detailed records of client and third-party interactions. You will be the first person to greet our clients, and you will establish a friendly, competent, and trustworthy tone.
Additionally, for the real estate assistant, you will coordinate real estate transactions, prepare tax statements, review contracts with the attorney and provide feedback, you will coordinate with title companies, real estate agents, and others as required to close real estate transactions.

In a typical day you will:
- Draft mail, email, and documents using Microsoft Office.
- Maintain client files and set client appointments using database tools.
- Greet customers in-person, virtually, and on the telephone.
- Take messages, meeting notes, and provide calendar support for Firm personnel.
- Perform general administrative tasks in support of a legal office.
- Use social media tools to post and distribute approved content.
- Review and preperation of documents for real estate transactions.
- Other duties as assigned.
Skills:
Required Skills
- Must be able to read and understand directions, procedures, and other documents.
- Must be able to communicate clearly and accurately with clients, court personnel, and other attorneys.
- Must hold a high school diploma or equivalent.
- Must read, write, and speak English proficiently.
- Must apply discretion and maintain confidentiality of records.
- Must be able to effectively employ and apply problem solving skills.
- Must have solid time management skills.
- Must have some experience in real estate transactions either as a legal assistant or paralegal.
Distinguishing Skills Above Entry Level (Optional)
- Experience creating and editing .pdf files in Adobe software.
- Typing speed greater than 90 words per minute.
- Experience with Clio and Clio grow.
- Experience blogging or drafting newsletters.
- Academic credentials above the high school level.
- Experience taking meeting minutes.
- Ability to research and analyze federal, state, and local laws and regulations for use in preparing legal documents.
- Experience or training drafting legal memoranda.
- Experience or training in drafting probate and estate planning documents.
- Strong writing and communication skills.
- Other paralegal experience.
- Experience with Lexis Plus or Westlaw Next platforms.
- Experience with QuickBooks or other bookkeeping software.
Physical Requirements

While performing the duties of this position, you will be regularly required to talk or hear. You will be frequently required to use hands or fingers, handle or feel objects, tools, or controls. You will occasionally be required to stand; walk; sit; and reach with hands and arms. You must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus (you have to be able to work on, read and understand documents that are both printed and in computer format). The noise level in the work environment is usually low to moderate.

Experienced Candidates: Candidates with more than ten years of experience as a real estate paralegal in the Chicago legal market may be considered for fully remote work at national rates from $22-$26 per hour.
