Overview
We are in search of a highly organized and service-oriented Executive Administrative Assistant to provide vital support to the Vice President of Sales at our Dallas headquarters. The successful candidate will possess excellent communication skills and the ability to build strong professional relationships. A proactive mindset and adeptness in managing intricate schedules are essential for this role.
Key Responsibilities
- Effectively utilize technology and software to enhance office operations.
- Demonstrate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as MS Teams and Zoom.
- Provide comprehensive executive support and manage office functions efficiently.
- Generate insightful sales reports and analytics to aid Sales Executives in performance assessment and improvement identification.
- Collaborate with design and marketing teams to produce presentations, reports, and promotional materials for sales initiatives.
- Act as an administrative liaison with both internal and external stakeholders regarding procurement, personnel, facilities, and operations.
- Manage financial documentation, including credit card transactions and expense reviews through Concur.
- Organize company communications such as mailers and holiday greetings, and coordinate employee milestone recognitions.
- Assist with short-term projects across various departments as required.
- Oversee the calendar for the Vice President of Sales, arranging meetings, calls, and appointments to maximize productivity.
- Coordinate business meetings, events, and travel arrangements, ensuring thorough itinerary management and confirmations.
- Support trade shows and major events by organizing travel logistics and catering arrangements.
- Maintain a professional demeanor in all interactions with stakeholders.
- Display reliability, timeliness, and exceptional communication abilities.
- Exhibit motivation and the capacity to manage multiple tasks in a fast-paced environment with meticulous attention to detail.
- Serve as a liaison between clients and Sales Executives, ensuring prompt and professional communication.
- Handle phone calls courteously and fulfill receptionist duties as necessary.
- Approach tasks and challenges with initiative and confidence.
Qualifications
- A degree is preferred; however, relevant experience is highly regarded.
- A minimum of 10+ years of demonstrated experience in a comparable role.
- Experience within a manufacturing setting is essential.
- Maintain a high level of confidentiality and discretion.
- Exhibit outstanding organizational and time-management abilities.
- Possess strong verbal and written communication skills.
- Capable of functioning effectively under pressure and adhering to tight deadlines.
- Confident and assertive with a proactive approach to challenges.
- Proficient in managing calendars and scheduling, with experience in organizing travel and business meetings.
- A solid social media presence is advantageous but not mandatory.
- Willingness to travel to trade shows and events throughout the year.
