Executive Assistant to CEO
We are looking for a highly skilled and motivated Executive Assistant to join our team and support our CEO. The ideal candidate will be a proactive, detail-oriented professional with a high sense of urgency and exceptional organizational skills. This role requires expert knowledge of Microsoft Excel, proficiency in Canva, Microsoft PowerPoint, and WordPress, and familiarity with video editing and social media marketing. Mastery of time and project management, as well as excellent communication skills, both verbal and written, are essential.

Compensation:
$52,000 - $65,000 yearly
Responsibilities:
Administrative Support:
- Manage the CEO's calendar and schedule/manage meetings as needed.
- Prepare and organize meeting agendas, materials, and presentations.
- Handle confidential information with discretion.
Data Management and Reporting:
- Utilize Microsoft Excel, Google Sheets, and SmartSheets for data collection, organization, and reporting.
- Create and maintain comprehensive databases and spreadsheets.
- Generate insightful reports and analyses to support decision-making.
Project Management:
- Oversee and track multiple projects simultaneously, ensuring deadlines are met.
- Collaborate with internal and external stakeholders to drive project success.
- Implement efficient processes and workflows to enhance productivity.
Communication:
- Draft and edit correspondence, reports, and presentations.
- Liaise with clients, partners, and team members on behalf of the CEO.
- Ensure timely follow-up and follow-through on all tasks and communications.
Time Management:
- Prioritize and manage multiple tasks with a high level of accuracy.
- Anticipate the CEO's needs and provide proactive support.
- Adapt to changing priorities and remain calm under pressure.
Design and Presentation:
- Create visually appealing presentations and materials using Canva and Microsoft PowerPoint
- Ensure all presentations align with company branding and communication standards
Video Editing and Social Media Marketing
- Work closely with the media/marketing team to assist with video content creation and social media marketing strategies
- Collaborate on content creation, scheduling, and campaigns to enhance brand visibility
WordPress Management
- Partner with the marketing team to update and maintain the company’s WordPress website
- Ensure content is current, aligned with company branding, and enhance the user experience
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field.
- Minimum of 5 years of experience as an Executive Assistant or similar role.
- Expert proficiency in Microsoft Excel, including advanced functions and data visualization.
- Strong project management skills with a proven track record of successful project delivery.
- Proficiency in Canva for designing professional presentations and marketing materials.
- Advanced skills in Microsoft PowerPoint for creating impactful presentations.
- Familiarity with video editing and social media marketing.
- Experience working with WordPress and collaborating on website management
- Excellent oral and written communication skills.
