Overview
We are seeking an experienced and highly organized Senior Executive Assistant to provide dedicated support to four senior executives. The ideal candidate will be a proactive and detail-oriented professional who excels in managing complex schedules, coordinating travel arrangements, and handling expense reports. This role requires excellent communication skills, the ability to manage multiple priorities, and the discretion to handle confidential information.
Key Responsibilities:
- Calendar Management: Efficiently manage and coordinate complex calendars for four executives, ensuring alignment of priorities, timely responses to scheduling requests, and seamless scheduling of meetings and appointments.
- Travel Arrangements: Plan, book, and manage both domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries. Ensure all travel complies with company policies and meets the preferences of each executive.
- Expense Management: Track, manage, and submit expense reports for executives in a timely and accurate manner, ensuring compliance with company policies. Reconcile credit card statements and other financial documents.
- Meeting Support: Coordinate logistics for in-person and virtual meetings, including securing meeting rooms, adding any in-person visitors to security, and ensuring smooth execution.
- Communication: Act as a primary point of contact for internal and external communications on behalf of the executives.
- Confidentiality & Discretion: Handle sensitive and confidential information with the utmost care and professionalism, ensuring trust and confidence from the executives.
- Relationship Management: Liaise with other EAs, departments, and external stakeholders to ensure effective communication and coordination on behalf of the executives.
Qualifications:
- Experience: Minimum of 7 years of experience in an executive assistant role, preferably supporting multiple senior executives (VP and above).
- Skills:
- Exceptional organizational and time-management skills.
- Strong attention to detail with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Proficient in Google Suite, Concur expense management, and Concur travel booking.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong problem-solving skills and the ability to anticipate the needs of the executives.
- Professionalism: Demonstrated discretion, integrity, and confidentiality in handling sensitive information.
- Adaptability: Ability to remain calm and flexible in a dynamic work environment with changing priorities and demands.
