Job Title: Executive Assistant (Remote)

Job Overview:
We are seeking an experienced and highly organized Executive Assistant to provide top-level administrative support to two C-level executives at a leading nonprofit and philanthropic organization. This organization focuses on empowering historically excluded groups by connecting them to vital services, capacity-building opportunities, and resources to amplify their impact in the fight for social justice. The role is fully remote, requiring a proactive and dynamic individual who thrives in a fast-paced, mission-driven environment.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative support to two C-level executives, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Communication Management: Serve as the primary point of contact between the executives and internal/external stakeholders. Handle sensitive information with the utmost confidentiality and professionalism.
- Meeting Coordination & Preparation: Organize executive-level meetings, including preparing agendas, presentations, and briefing materials. Take detailed notes and ensure follow-up on action items.
- Email & Correspondence: Monitor and manage high-volume email inboxes, drafting and responding to communications on behalf of the executives as needed.
- Project Management: Assist in the coordination of special projects, initiatives, and events. Track progress, deadlines, and deliverables to ensure the executives are well-prepared and informed.
- Document Management: Prepare, edit, and format reports, presentations, proposals, and other documents as required. Maintain organized digital filing systems.
- Stakeholder Liaison: Communicate with board members, donors, partners, and other high-profile stakeholders on behalf of the executives. Help manage relationships and build strong connections within the nonprofit and philanthropic community.
- Event Planning: Support the planning and execution of organizational events, including virtual or in-person meetings, conferences, and fundraising events.
- Travel & Expense Management: Coordinate domestic and international travel, including accommodations, transportation, and itineraries. Manage expense reports and reimbursements in a timely and accurate manner.
- Support Organizational Goals: Align executive support tasks with the organization's mission, vision, and values, ensuring that all work reinforces its commitment to social justice and empowerment of marginalized communities.
Qualifications:
- Experience: Minimum of 5 years of experience as an Executive Assistant, preferably in the nonprofit, philanthropic, or social justice sectors. Experience supporting C-level executives is required.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workspace, project management tools (Asana, Trello), and virtual communication platforms (Zoom, Slack). Experience with donor management or CRM systems is a plus.
- Remote Work Skills: Ability to work independently in a fully remote environment, demonstrating strong self-discipline, time management, and communication skills.
- Mission-Driven: Passion for social justice, equity, and the empowerment of marginalized communities. Prior experience working with or advocating for historically excluded groups is highly desirable.
- Strong Communicator: Excellent verbal and written communication skills, with an ability to interact with diverse stakeholders in a clear, respectful, and professional manner.
- Organizational Excellence: Detail-oriented with strong organizational, multitasking, and problem-solving abilities. Capable of managing multiple priorities and deadlines effectively.
- Discretion & Professionalism: Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
