Position Overview
The Executive Assistant provides high-level administrative and organizational support to the President and the broader Leadership Team. This role is a strategic partner in ensuring the efficient execution of leadership priorities. You will be responsible for managing complex schedules, coordinating high-impact company meetings, supporting executive operating rhythms, and overseeing logistics for major company events.
The ideal candidate is a highly organized, professional "force multiplier" capable of exercising independent judgment and managing competing priorities in a fast-paced environment.
Roles & Responsibilities
Executive & Leadership Support
- Calendar & Travel: Provide comprehensive administrative support to the President, including complex calendar management, travel coordination, and proactive prioritization of weekly activities.
- Operating Rhythms: Coordinate executive schedules and support the Leadership Team’s rhythm of business to ensure goals are met.
- Material Preparation: Prepare, edit, and proofread high-quality executive presentations, reports, and correspondence.
- Accountability: Create and maintain weekly leadership meeting agendas, track action items, and ensure rigorous follow-up on outstanding tasks.
- Confidentiality: Professionally manage highly sensitive, confidential, and time-sensitive information.
Company Meetings & Operating Cadence
- Meeting Management: Schedule and coordinate company-wide and leadership meetings, including All-Hands calls, forecast calls, coaching staff meetings, and business reviews.
- Documentation: Prepare and distribute agendas, invitations, and meeting notes to keep all stakeholders aligned.
- Master Calendar: Maintain the organizational master calendar to support the ongoing cadence of company activities.
Events & Site Visit Program
- Program Management: Manage the company’s Site Visit Program, including travel coordination, approval tracking, and quarterly reporting for leadership.
- Event Logistics: Lead logistics for National Sales Meetings, regional meetings, and industry conferences. This includes venue sourcing, A/V requirements, catering, and on-site support.
- Trade Shows: Manage trade show participation, including field requests, the approval process, and reporting.
Internal Communications & Operations
- Visibility: Create and distribute company-wide communications, including emails, surveys, and recognition updates as directed by leadership.
- Finance & Expenses: Track and reconcile corporate credit card expenses; provide accurate monthly reporting to the Finance department.
- Travel Liaison: Serve as the primary travel platform liaison and resource for employees.
Required Skills & Qualifications
- Experience: Minimum of 5 years of experience in a high-level administrative or executive support role.
- Education: Undergraduate degree strongly preferred.
- Technical Savvy: Advanced expertise in Microsoft 365 (Word, Outlook, Excel, Teams, PowerPoint).
- Communication: Exceptional verbal and written communication skills with a sharp eye for detail.
- Project Management: Superb organizational skills with the ability to multitask and meet tight deadlines.
- Mindset: An enthusiastic, "proclivity for overachievement" attitude and excellent problem-solving abilities.
- Travel: Willingness to travel up to 20% of the time.
