Job Summary:
We are seeking a proactive, highly organized PropertyManager Assistant with a strong background in bookkeeping and administrative tasks to support our vacation rental operations. This role acts as the right hand to management, balancing administrative support with financial oversight (AP/AR, reconciliations) and marketing initiatives (social media, listing optimization).
Key Responsibilities:
- Bookkeeping & Accounting: Maintain accurate financial records, including managing accounts payable/receivable, processing invoices, and performing daily/monthly bank reconciliations using QuickBooks or similar software.
- Property Management System (PMS) Management: Oversee guest communications, inquiries, and bookings across platforms like Airbnb, VRBO, and Booking.com.
- Operational Support: Coordinate cleaning crews, maintenance vendors, and property check-ins/outs.
- List Negotiations: Collaborate with the CEO and stakeholders to negotiate and finalize property listings for Airbnb and commercial real estate.
- Marketing & Social Media: Manage company social media accounts, create engaging content (using tools like Canva), and optimize property listings to maximize occupancy.
- Executive Support: Manage calendars, arrange travel, and handle correspondence for company executives.
Requirements:
- Proven experience as a Property Manager Assistant, Executive Assistant, or Bookkeeper, preferably in the hospitality industry.
- Proficiency in accounting software (QuickBooks, Xero) and Microsoft Excel.
- Experience with property management software (e.g., AppFolio, OwnerRez) and listing platforms (Airbnb).
- Strong social media management skills (Instagram, Facebook).
- Excellent communication (written and verbal) and organizational skills.
Preferred Qualifications:
- Experience in hospitality or short-term rental management.
- Familiarity with digital marketing strategies.
Wage Compensation
- Salary: $1,300 USD Monthly
- Schedule: Monday to Friday, 8:00 AM – 6:00 PM EST. Flexibility is required to address urgent matters.
