We are a growing company seeking a proactive, detail-oriented, and reliable Remote Operations & Project Coordinator to support daily operations, client communication, and construction project coordination.
Job Description:
This is a key role within the company, working directly with leadership to help streamline operations, improve client experience, and support ongoing construction projects. We are looking for someone who is highly organized, takes initiative, and thrives in a fast-paced environment.
Key Responsibilities:
Operations & Administrative Management
- Manage and respond to incoming leads within 5 minutes
- Maintain organized communication with clients, vendors, and subcontractors
- Schedule appointments, estimates, and project timelines
- Maintain and update CRM systems (client records, project tracking)
- Prepare and send documents (estimates, follow-ups, contracts)
- Assist with bookkeeping and expense tracking
Construction Project Coordination
- Track project timelines, milestones, and daily progress
- Coordinate with subcontractors and confirm schedules
- Track material orders and deliveries
- Organize project documentation and permits (California-based)
- Ensure clear and documented communication with clients and team members
- Follow up with clients and team members consistently
Marketing & Lead Management
- Coordinate social media posting (Instagram, TikTok, Facebook)
- Assist with content scheduling and organization
- Track incoming leads and update CRM
- Support website updates and online presence
- Assist with basic marketing coordination and research
Required Qualifications:
- Experience working with U.S.-based companies
- Strong administrative or operations background
- Basic understanding of construction or willingness to learn quickly
- Excellent English communication (written and verbal)
- Highly organized with strong attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Reliable internet and workspace
- Must be responsive, proactive, and accountable
Preferred Qualifications:
- Experience with a general contractor or construction company
- Familiarity with California permits and project workflows
- Experience with CRM systems
- Spanish/English bilingual (preferred but not required)
Compensation & Growth:
- $800 – $1,200 MXN per day (based on experience)
- Performance-based growth opportunities
- Long-term position with potential to grow into an Operations Manager role
