Role Overview: This Transactions Legal Assistant role supports a fast-paced real estate-focused law firm by ensuring files are opened accurately, documentation is requested on time, and follow-ups move matters forward efficiently. In this position, you will work closely with paralegals to manage administrative legal tasks that are critical to keeping transactions on track. The role is ideal for someone who is comfortable working independently, thrives in a structured environment, and takes pride in being reliable and detail-focused. You will not handle client intake, allowing you to concentrate on internal processes, accuracy, and timely execution. Candidates who value teamwork, consistency, and a positive work atmosphere will find this role especially rewarding while contributing meaningfully to daily operations.
Schedule:
Monday to Friday from 8:00 AM to 5:00 PM CST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Maintaining organized and up-to-date files and documentation
- Supporting paralegals with administrative legal tasks
- Ordering payoffs and association documents for real estate matters
- Opening and setting up new legal files accurately in Smokeball
- Ensuring deadlines and internal requirements are met consistently
- Performing follow-up phone calls and follow-up emails as needed
What We're Looking For:
- At least one to two years of experience working in a law firm as a legal assistant or managing legal documents required
- Experience with SmokeBall CRM is a must
- Excellent written and verbal communication in both English and Spanish
- Strong attention to detail and accuracy
- Ability to manage repetitive tasks efficiently
- Comfort working in a fast-paced legal environment
- Dependability and consistency in daily execution
- Ability to follow established legal processes
- Positive attitude and collaborative mindset
- Time management and task prioritization skills
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
