Job Summary:
You will be responsible for assisting the Executive (Owner) with communication, email and calendar management, and miscellaneous projects within the different companies the Executive is involved with, currently: Simply Ride, Traction Capital, real estate and more. This work is primarily remote but can be hybrid remote/in person, and work will range from approximately 10 to 20 hours per week on average.
Simply Ride is Minnesota’s largest used motorcycle dealership and has won multiple awards for quality, including Star Tribune’s MN Best/Gold Powersports dealer 3 years running, Best in Class for pre-owned sales, Service, Philanthropy, Employee Satisfaction and more from Powersports Business Magazine, and multiple managers including the Owner have received recognition as 40 under 40.
Traction Capital helps founders and businesses break through, by deploying capital and expertise to help companies achieve up to $50M exits. A hybrid Venture Capital / Private Equity firm, Traction Capital invests in and acquires companies in the Midwest, and leverages their business expertise, network, and the EOS platform to help founders and teams.
Primary Responsibilities Include:
- Handle sensitive information with discretion and confidentiality, maintaining a high level of professionalism.
- Maintain strict confidentiality. A Non-Disclosure Agreement will be required.
- Act as a point of contact between executive and internal/external stakeholders, managing his email inboxes, social media, calendar, some phone calls, and other forms of communication.
- Respond, re-direct, and register all forms of communication on his behalf as required.
- Manage the Executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Organize meetings, including scheduling, sending reminders, executing follow-ups, attending meetings, and jotting down minutes.
- Manage and book travel as needed (rare).
- Building and maintaining effective relationships with the Executive.
- Maintain consistent communication with the Executive.
- Provide comprehensive administrative support in all areas of business as needed.
- Assisting with any document preparation and editing of documents, reports, presentations, and other materials as needed
- Misc reports and program access.
- Microsoft OneDrive / SharePoint File Storage Management
- Process Documentation and basic Illustration
- Any ad hoc tasks provided by the Executive.
- Track time working on different companies.
- Daily calls to review, discuss and execute replies within Executive’s email inbox, calendar scheduling, Executive tasks, updates on projects, etc.
Basic Qualifications:
- Proven experience as an Executive Assistant or in similar role (prefer 2+ years as an Execute Assistant, Office Manager, Assistant, or Chief of Staff).
- Strong organizational and multitasking skills to manage diverse responsibilities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office, especially Outlook (email and Calendar), Excel and Word, as well as Google Suite.
- Proficient in using tools like Trello, HubSpot, and Canva, among others (overview / specific training can be provided)
- Strong problem-solving skills and attention to detail.
- Ability to manage deadlines and prioritize tasks effectively.
- Self-motivated and capable of working independently in a fast-paced environment.
- Resourceful and adaptable with a proactive attitude.
- Willingness to take charge and contribute positively to business tasks.
Location: Remote but possibility for hybrid work out of Eden Prairie or North Loop Minneapolis
Travel: May include up to 5% domestic
