About The Role
Our firm is partnering with a large, well-established organization in the retail and corporate services industry to identify an Administrative Assistant. This role supports manager- and supervisor-level leaders in a fast-paced, collaborative office environment. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities while providing dependable administrative support across teams.
Job Description
The Administrative Assistant will provide day-to-day administrative and office support to leaders and cross-functional teams. This role requires strong communication skills, calendar and workload management expertise, and the ability to maintain accuracy while handling confidential and time-sensitive information.
Key Responsibilities
- Provide administrative and office support for manager- and supervisor-level leaders
- Manage and maintain Outlook calendars across multiple leaders, including scheduling meetings and coordinating agendas
- Develop meeting agendas, track follow-up action items, and support workload management across the team
- Compose professional correspondence and prepare presentations and reports
- Maintain office files, documents, and standard procedures
- Process invoices and generate monthly administrative reports
- Provide administrative support to additional teams as needed
- Support basic project management routines and coordination efforts
Qualifications
Required
- Minimum of 2 years of experience as an Administrative Assistant or in a similar role
- Strong organizational and time-management skills with the ability to prioritize and manage multiple tasks simultaneously
- Experience managing calendars and scheduling meetings across multiple leaders
- Ability to create agendas, track follow-up actions, and manage administrative workflows
- Strong attention to detail with a focus on data accuracy and integrity
- Proficiency with Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook
- Clear and professional written and verbal communication skills
Preferred
- Experience supporting multiple leaders or departments in a corporate environment
- Familiarity with basic project management concepts and routines
- Experience coordinating workloads or administrative processes across a team
