About the Role
We are seeking a highly organized, proactive Executive Assistant to support the Executive Director and help manage day-to-day operations. This is a part-time, remote position ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and is comfortable handling a mix of administrative, communications, and project-based tasks. Flexibility and responsiveness are key, as some needs may arise on short notice.
Key Responsibilities
- Calendar & Scheduling SupportCoordinate meetings, appointments, and event logistics
- Assist with large-scale scheduling (e.g., coordinating attendance and preferences for annual events and conferences)
- Inbox & Communication ManagementHelp organize, prioritize, and manage the Executive Director’s inbox
- Monitor and respond to inquiries from shared inboxes (e.g., general info email)
- Ensure timely follow-up and clear communication
- Event & Administrative SupportAssist with planning and coordination for organizational events
- Track RSVPs, collect attendee information, and support logistics
- Data & CRM ManagementInput and maintain data in spreadsheets and CRM systems (EveryAction)
- Ensure data accuracy and organization across platforms
- Content & CommunicationsSupport social media posting, often on short notice
- Update website content, including posting news, updates, and announcements
- Media & Research TrackingMonitor and track media mentions of the organization and Executive Director
- Maintain organized records of news clippings and relevant coverage
- File & Document ManagementOrganize and maintain shared folders and internal documentation systems
- General Administrative & Project SupportAssist with ad hoc projects and tasks as they arise
- Provide flexible support across various operational needs
- 3+ years of administrative or executive support experience
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Comfortable managing multiple priorities and shifting tasks
- Detail-oriented with strong follow-through
- Experience with CRM systems (EveryAction preferred), Google Workspace, Microsoft Office and Asana
- Ability to handle sensitive information with discretion
