Job Summary: We are seeking a detail-oriented and organized Administrative Assistant to support the daily operations of our window treatment business. In this role, you will serve as the primary point of contact for clients, coordinate installation schedules, and ensure that all administrative tasks are handled with precision. The ideal candidate is a proactive multitasker who can balance client communication with back-end office management to ensure a seamless customer experience from initial inquiry to final installation. This position is part time initially for training purposes/onboarding and will transition to full time.
Responsibilities:
- Manage incoming phone calls, emails, and lead inquiries from prospective clients.
- Schedule in-home consultations and installation appointments for the design and technical teams.
- Process customer orders and track shipments from manufacturers to ensure timely delivery.
- Prepare and send professional quotes, invoices, and contracts to clients.
- Maintain accurate customer records and project status updates within the CRM system.
- Coordinate with vendors and installers to resolve any order discrepancies or scheduling conflicts.
Qualifications:
- Proven experience as an administrative assistant or in a similar customer-facing office role.
- Strong proficiency in Microsoft Office Suite and general database management.
- Excellent verbal and written communication skills with a focus on professional etiquette.
- Ability to manage a high volume of tasks while maintaining strict attention to detail.
- Strong organizational skills and the ability to prioritize work effectively in a fast-paced environment.
- Prior experience in the home improvement, interior design, or construction industry is a plus.
- High school diploma or equivalent; additional business or administrative certifications are preferred
