We are looking for a skilled Executive Assistant to provide high-level administrative support in Grand Canyon, Arizona. This Contract to permanent position involves managing critical organizational tasks, supporting executive operations, and ensuring seamless coordination across various activities. The ideal candidate will excel in handling schedules, preparing materials, and facilitating communication with internal and external stakeholders.
Responsibilities:
• Manage executive calendars by scheduling meetings, appointments, and events to ensure optimal time management.
• Coordinate travel arrangements, including booking flights, accommodations, and transportation for executives.
• Prepare and organize meeting materials such as agendas, briefing notes, and research documents for staff, Board members, and donors.
• Draft and oversee executive correspondence, acting as a liaison between internal departments and external partners.
• Assist in planning and executing virtual and in-person events, including fundraising and donor engagement activities.
• Organize and manage quarterly and special Board and Committee meetings, including agenda creation, material preparation, and minute-taking.
• Attend all Board and committee meetings to record and distribute accurate minutes.
• Maintain historical records of Board and Committee proceedings using tools like Board Effect.
• Support governance processes by tracking member terms, collecting annual forms, and managing charters, policies, and orientation materials.
• Collaborate with leadership to facilitate Board recruitment, onboarding, and engagement efforts.• Proven experience in calendar management and executive scheduling.
• Strong ability to coordinate and arrange complex travel plans.
• Proficient in preparing meeting materials and presentations for high-level stakeholders.
• Excellent written and verbal communication skills for drafting correspondence and liaising with diverse audiences.
• Experience planning and executing events, including virtual and in-person formats.
• Familiarity with Board governance processes, including recruitment and onboarding.
• Ability to manage multiple projects and prioritize tasks effectively.
• Knowledge of nonprofit operations, particularly within 501(c)(3) organizations.
