Administrative Assistant – Home Inspection Company
Job Type: Part-Time , 10-20 hrs/wk
Location: Remote (ideally in the Seattle area for occasional in person meetings)
About the Role
We are seeking a reliable and detail-oriented Administrative Assistant to support daily operations for our growing home inspection business. This role is essential to ensuring smooth scheduling, timely invoicing, and excellent client communication.
Key Responsibilities
Daily Tasks:
- Monitor, respond to, and triage emails; forward urgent matters to management as needed
- Answer and manage incoming phone calls professionally
- Review the inspection schedule to confirm all details are accurately entered and that appointment reminders have been sent for upcoming inspections
- Process and send invoices through QuickBooks
Weekly Tasks:
- Monitor and report on past due invoices
- Track and record incoming payments (checks, Venmo, etc.)
Twice Monthly :
- Process and submit employee hours and mileage reports
Qualifications
- Strong organizational and time-management skills
- Proficiency with QuickBooks (or willingness to learn)
- Experience with scheduling software a plus
- Excellent written and verbal communication skills
- Ability to work independently and manage multiple tasks with minimal supervision
- Attention to detail and accuracy in data entry and invoicing
Preferred Experience
- Prior experience in administrative support, customer service, or office management
- Familiarity with home inspection, real estate, or service-based industries
