Administrative Assistant (Remote)

Salary Range: $40,000–$45,000
About the Role
The Administrative Assistant provides critical administrative, operational, and coordination support across the organization, including programs, finance, marketing, and human resources.
This role is ideal for a highly organized self-starter who thrives in a fast-paced remote environment and enjoys building systems that help teams work efficiently. The Administrative Assistant will help maintain internal workflows, manage data systems, support organizational communications, and assist leadership with day-to-day operational needs.
Key ResponsibilitiesOperations & Project Management
- Serve as the lead administrator for Monday.com, supporting organization-wide project management, task tracking, and workflow coordination
- Build, maintain, and improve internal systems and processes to support efficient operations across departments
- Maintain organized digital files, records, and documentation in shared systems
Data, CRM & Reporting
- Build, maintain, and manage donor and constituent databases and CRM systems
- Perform accurate data entry across program management and donor management platforms
- Generate reports and summaries to support leadership, fundraising, and program evaluation
Finance & Administrative Support
- Assist with invoicing, expense tracking, and financial documentation in coordination with leadership and finance partners
- Track receipts, contracts, and administrative records to support timely reporting and reconciliation
Communications & Marketing Support
- Serve as a point of contact for general organizational inquiries
- Provide administrative support for the annual marketing plan, including timelines, tracking, and content organization
Meetings, Programs & Board Support
- Prepare and organize agendas, materials, and notes for staff meetings, board meetings, and program activities
- Provide administrative support to the Board of Directors, including meeting logistics and documentation
Human Resources & Team Support
- Support internal systems related to HR functions and organizational administration
- Serve as the primary point of contact for employee onboarding and offboarding, including coordinating paperwork, access, and internal communications
QualificationsRequired
- Bachelor’s degree or equivalent experience
- 2–5 years of experience in an administrative, operations, or coordination role
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities independently in a remote work environment
- Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar) and video conferencing tools
Preferred
- Experience working in a nonprofit, remote, or small-team environment
- Familiarity with project management tools (Monday.com or similar) and CRM systems
- Experience improving workflows, building systems, and supporting growing organizations
