Wildflower Legacy and Wealth Planning, LLC (CPA Firm) and Wildflower Legal, PLLC (Tax Law Firm), are professional firms focused on providing tax services to ultra-high net worth clientele. Our clients are mainly successful private businesses and their owners. We are seeking a Senior Executive Assistant and Tax Paralegal to join our team! You must be able to demonstrate the ability to serve in both roles.
As a Senior Executive Assistant, you will provide high-level administrative support for the Managing Member of our firms. The position is open to start immediately. For the first four to six months, this will be a fully remote position. Beginning sometime in late 2026, you will be working in a hybrid capacity, generally spending up to two to three days per week in our office as needed. The position will be located in the Tampa Bay area (Hillsborough/Pinellas/Sarasota/Pasco/Polk counties). However, consideration will be given to qualified candidates in other parts of Florida, if there is the ability to relocate to Tampa Bay within the year. Preference will be given to candidates living in the Tampa Bay area. You must need to be flexible enough to work out of our Tampa Bay location up to 4-5 days per month, at a minimum.
Responsibilities of the Senior Executive Assistant:
- Handle administrative needs of all aspects of the Managing Member of our two firms.
- Arrange dozens of weekly conference calls and video meetings with external and internal executives, on worldwide time zones. You must have the ability to coordinate multiple schedules for meetings with many executives across all US and European (and occasionally) Far Eastern time zones.
- Plan and arrange work-related travel details for executives and employees.
- Maintain and order all supplies and provide all office support as needed.
- Prepare detailed expense reports for executives.
- Prepare all internal accounting reports and records for the firm, including proficiency with QuickBooks, QuickBooks Pro, and other similar accounting software expertise.
- Prepare on a limited basis accounting and financial statements for clients, utilizing QuickBooks, QuickBooks Pro, and similar software.
- Additional job responsibilities are required of the Tax Paralegal, as outlined below.
Qualifications:
- Five to 12 years of prior experience as a Senior Executive Assistant is required. At least two years must be in a field involving taxation, preferably with a law or accounting firm.
- For the Tax Paralegal position, the candidate must demonstrate at least three years of experience in a law or accounting or similar firm, focused heavily on income and multi-generational estate planning, research, and drafting all forms of tax, business, and estate planning legal documents.
- Tax Paralegal candidates should demonstrate at least two years of expertise in drafting all forms of Inter Vivos estate planning documents, including wills, complex and simple trusts, health care and living will directives, etc. Income tax planning, and drafting operating and partnership agreements is also required, as is experience in establishing legal entities for clients.
- Prior experience in professional services firms focused on affluent clientele is required.
- Preference will be given to those with both a Senior Executive Assistant and a Tax Paralegal background.
- Strong research and writing capabilities and experience must be demonstrated.
- Candidates with significant research, writing and drafting experience, particularly in estate planning and business law, will be given priority for this Tax Paralegal position.
- We do not work in the areas of estate administration, litigation, probate or other forms of postmortem estate planning or trust administration. Candidates with only this type of paralegal background will not be considered.
- Strong organizational skills and the ability to handle complex scheduling and calendars for multiple executives required.
- Fluent/Expert level expertise with all Microsoft 365 Office tools is required; experience with tax compliance and tax research software is highly desired.
- Ability to prioritize and multitask, with relevant experience in a deadline driven tax practice, is highly desirable.
- Ability to prepare basic monthly accounting and financial statements for professional services firm; expertise with QuickBooks or similar programs is required.
- Strong attention to detail, with the ability to draft and compose correspondence, legal and technical memoranda, with minimal supervision. Tax Paralegal will be expected to draft numerous legal documents.
- Living in Florida is required.
- Tax Paralegal will need to be able to travel for a few days at a time throughout the US, potentially up to 20% of the time, in conjunction with client meetings and firm events.
- Previous experience in a professional services firm with a significant tax practice, specifically in law or accounting, is highly desirable.
- Previous experience with tax processing and tax compliance responsibilities is also desirable.
- Minimum Educational requirement: Associate's Degree in Business, Legal Studies, Paralegal Studies, Accounting or Finance. Bachelor's degrees in any of these fields are strongly preferred.
- Legal authorization to work in the United States is required.
- Proficiency with spoken and written English is mandatory. Professional level mastery of Spanish and/or Portuguese is desirable.
- Demonstrated experience assisting with client representation involving the Internal Revenue Service and state taxing authorities is desired.
