Job Summary:
We are seeking an experienced Executive Assistant to provide high-level administrative and operational support to senior leadership. This role requires strong organizational skills, proactive communication, and the ability to manage complex calendars, meetings, and executive priorities in a fast-paced environment.
The ideal candidate will support executive operations, meeting coordination, travel planning, expense processing, and employee engagement initiatives while collaborating closely with other executive assistants and cross-functional teams.
Key Responsibilities:
Manage and maintain executive calendars, coordinating meetings, conferences, and travel arrangements
Monitor inboxes to manage meeting proposals, action items, and delegate inquiries
Organize video and in-person meetings, including booking locations and equipment
Coordinate business planning sessions, town halls, staff meetings, management meetings, and one-on-one meetings
Prepare presentation materials, reports, agendas, minutes, and supporting documentation
Follow up on deliverables and coordinate materials with facilitators and presenters
Support senior management objectives through meeting planning and administrative coordination
Coordinate travel and hotel arrangements for the team
Process and validate monthly expense reports
Maintain vacation schedules and executive records within Workday
Collaborate with other executive assistants to manage events and calendar series
Provide backup support during absences
Support employee engagement activities such as team events, coffee chats, and focus groups
Required Experience:
4+ years of experience as an Executive Assistant
Strong proficiency in Microsoft Office Suite
Experience managing executive calendars and travel
Strong written and verbal communication skills
Experience processing expense reports and managing administrative systems
Ability to prioritize and manage multiple responsibilities
