We are seeking a dynamic and organized Office Manager / Bookkeeper to lead the administrative operations of our organization. Responsibilities
- Manage day-to-day office operations, including front desk duties, multi-line phone systems, and calendar management for staff and executives
- Oversee scheduling of meetings, appointments, and events, including event planning and coordination
- Maintain organized filing systems for documents, records, and correspondence, ensuring easy retrieval and compliance with data retention policies
- Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
- Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting training & development initiatives
- Manage vendor relationships by coordinating procurement, reviewing contracts, and ensuring timely payments
- Support payroll processing by verifying hours worked, managing time-off requests, and ensuring accurate compensation delivery
- Assist in budgeting activities by monitoring expenses and preparing financial reports for management review
- Supervise administrative staff or interns when applicable, providing training and fostering a collaborative team environment
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Demonstrated bookkeeping experience using QuickBooks or comparable software
- Prior supervisory or team management experience preferred
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong communication skills for interacting with staff, vendors, clients, and visitors with professional phone etiquette
- Knowledge of human resources processes including onboarding, payroll support, and employee relations
- Experience in event planning and schedule management is highly desirable
- Familiarity with medical office management or healthcare administration is a plus but not required
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
