POSITION SUMMARY
Responsible for providing administrative and customer service support to assist with efficient operation of the Accreditation, Conference, and Education (ACE) department.

WHERE YOU WILL WORK
This position can be remote, hybrid, or in office. Our office locations are Austin, Texas National Headquarters and Washington D.C. Government Affairs (Arlington, Virginia).
ESSENTIAL RESPONSIBILITIES
You are expected to perform the following essential responsibilities of the position with reasonable accommodation. The position may include other responsibilities as assigned.
- Performs various administrative tasks and meets department deadlines.
- Edits speaker and faculty recordings.
- Organizes and assists with maintaining files and folders across the ACE department.
- Provides documentation and record keeping.
- Submits weekly ACE reports.
- Provides customer service support utilizing Zendesk, e-mail, and phone.
- Maintains recordkeeping for the department.
- Performs data entry and organization of data.
- Pulls data and reports for all areas of the department.
- Uses critical thinking to complete multiple tasks.
- Prepares, modifies, and proofreads documents for conferences.
- Supports LMS maintenance as needed.
- Support accreditation with record review and record keeping.
- Support workflow of renewal for microcredential programs.
- Support department recording process, as needed.
QUALIFICATIONS
Education
Required:
- High school diploma. Equivalent years of experience can be substituted for education plus the minimum required years of experience.
Preferred:
- Associate or bachelor’s degree.
Experience
Required:
- Two or more years of customer service experience including helpdesk ticketing platforms (e.g., Zendesk).
- Two or more years of administrative support experience.
Preferred:
- Data entry experience.
- Audio and/or video editing experience.
Knowledge, Skills, and Abilities
Required:
- Ability to learn software quickly with the right training provided.
- Proficient in software:
- Microsoft 365 office suite (Word, Excel, Teams, PowerPoint, Forms, SharePoint)
- Adobe Suite
- Basic skill level software experience required (intermediate level preferred):
- Audio-visual software (e.g., Camtasia, Riverside, Premier Pro)
- Project management platforms (e.g., Teamwork, Smartsheet)
- Ability to work independently, with input or guidance from colleagues and limited supervision.
- Excellent written and verbal communication skills.
- Excellent ability to perform all communications in a courteous and professional manner.
- Demonstrated ability to provide excellent customer service.
- Excellent interpersonal skills and a demonstrated team player.
- Excellent organizational skills with attention to detail and ability to perform tasks with high level of accuracy and follow-through.
- Excellent initiative and time management skills with ability to handle multiple tasks, prioritize, and meet deadlines in a fast-paced environment.
- Demonstrated problem solving skills.
- Ability to perform tasks with a high level of accuracy and attention to detail.
- Ability to follow external and internal policies, procedures, and work instructions.
Preferred:
- Basic to intermediate experience with CRM (Customer Relationship Management) and/or AMS (Association Management Software) software (e.g., Salesforce, Aptify).
- Proficient in Smartsheet software.
Other
- Ability to travel to AANP Conferences when required (3-5% per year).
