About the Role We’re seeking an experienced
Executive Assistant II to join the
Admin Specialist Program (ASP) — a scaled administrative team providing high-volume support across core administrative functions such as calendar management, travel coordination, and expense reporting. This role will support multiple leaders remotely, ensuring efficient and organized operations that enable executives to focus on strategic priorities.
Key Responsibilities
- Provide remote administrative support for multiple leaders (up to 6:1 ratio) including complex calendaring, travel arrangements, and expense management.
- Utilize internal and external tools to effectively manage calendars and coordinate meetings.
- Communicate with supported leaders to understand business priorities and tailor support accordingly.
- Partner with other administrative assistants for seamless meeting coordination and scheduling.
- Offer proactive time management recommendations to optimize leaders’ schedules.
- Provide short-term backup coverage to team members when needed.
Qualifications Required:
- Minimum 2+ years of experience providing administrative support to 3–4 or more executives.
- Proven experience in calendar management, travel coordination, and expense processing.
- Strong ability to prioritize multiple tasks and manage competing deadlines.
- Proficiency in Microsoft Office and Google Workspace (G-Suite).
- Experience exercising judgment and discretion while following company policies.
- Familiarity with CRM or ticketing systems.
- High school diploma or equivalent (Bachelor’s degree preferred).
Preferred:
- Experience supporting executives within a fast-paced, high-volume environment.
- Familiarity with Meta Boomerang, Concur, and Outlook.
- Experience providing administrative support to multiple executives simultaneously.
