The Healogix Administrative Assistant plays a key role in supporting the operational and administrative needs of the organization. This individual acts as an operational partner to senior leadership and department heads, providing reliable organizational support across the business. The role supports vendor management efforts, assists with company events and board meetings, and ensures smooth day-to-day operations through strong coordination, attention to detail, and proactive support. This role also helps reinforce a culture of compliance, transparency, and executional excellence through consistent, well-managed processes and communication.
- Act as an operational partner to senior leadership and department heads, providing reliable organizational support and promoting compliance and transparency in administrative processes
- Support all vendor management activities, acting as the primary point of contact for software partners, IT vendors, and field vendors, while ensuring compliant vendor relationships
- Act as internal connection between IT management and needs of employees
- Oversee administrative aspects of IT, including newhire setup, software and hardware onboarding, cell phone management, and equipment recycling, supporting executional excellence across internal operations
- Support planning of company events, meetings, and team activities, including scheduling, logistics, communication, and vendor coordination
- Assist with board meeting preparation, including scheduling meetings, distributing materials, and ensuring all deliverables are accurate and completed on time
- Manage key internal processes and workflows such as expense reporting, travel arrangements, and general administrative needs
- Participate as a member of the Healogix Culture Committee
- Lead and/or contribute to initiatives that foster a culture of compliance, transparency, and executional excellence
- Perform additional operational duties as needed to support the organization
- Exceptional organizational skills and strong attention to detail
- Strong communication skills and the ability to partner effectively with senior leadership and department heads
- Proactive, selfmotivated, and able to operate independently
- Trustworthy and able to maintain confidentiality
- College degree or equivalent experience preferred
- Experience with vendor management, including IT, software, and external service providers
- Document management/version control
- Basic reporting or tracking (e.g., vendor renewals, licenses, key deadlines)
