Job Title: Remote Administrative Assistant
Employment: 6 month initial contract with extensions or conversion
Location: Remote (Supporting executives based in Washington, DC)
Pay Rate: Up to $30 per hour
Experience Level: Senior (5+ years)
Role Overview
We are seeking a highly experienced Administrative Assistant to support
two senior leaders within an AI organization. This role is ideal for someone who thrives in a fast-paced, high-change environment and is comfortable managing complex calendars, shifting priorities, and cross-functional coordination across time zones.
The position requires strong technical aptitude, sound judgment, and the ability to provide seamless remote executive support with professionalism and discretion.
Key Responsibilities
- Executive & Calendar Support: Manage complex calendars, coordinate meetings across time zones.
- Travel & Expense Coordination: Arrange domestic travel logistics, process expenses through Workday.
- Operational & Team Support: Provide administrative support to a large, distributed organization, support meeting coordination.
Tools & Technology
- Google Workspace: Daily use of Gmail, Calendar, Docs, Sheets, and Drive.
- Communication: Act as a Zoom delegate; use Slack for internal communication.
- AI Tools: Comfort using AI tools (e.g., ChatGPT or similar).
- HRIS/Travel: Workday and corporate travel platforms.
Required Qualifications
- Experience: 5+ years of experience supporting VP-level or equivalent senior leaders.
- Multi-Exec Support: Proven experience supporting multiple executives simultaneously.
- Industry Background: Background in mid- to large-sized technology organizations is highly preferred.
- Remote Work: Proven ability to support leaders remotely and asynchronously.
- Soft Skills: Strong judgment, adaptability, and calm execution in high-pressure environments.
